1. Who?
This privacy policy applies to the services of the Vlaamse Diergeneeskundige Kring V.Z.W., hereinafter called EXPOVET, with registered office at 9820 Merelbeke - Melle, Salisburylaan 133, with company number BE 0458.806.337.
EXPOVET is Flanders' largest trade fair for veterinarians and veterinary assistants.
By using the services of EXPOVET, you acknowledge that you have read this privacy policy and consequently accept the collection and processing of your personal data, in the manner described here. This privacy policy describes the operation of the services provided by EXPOVET, specifically how EXPOVET collects, uses, protects and shares data.
We will only use the personal information you provide to us for the services or purposes for which you have given your consent. EXPOVET complies with the European Regulation 2016/679 of April 27, 2016 on the protection of personal data, as well as the Belgian Framework Law dated July 30, 2018. For the performance of its services, EXPOVET is the data controller.
2. What data?
By personal data we mean any information about an identified or identifiable natural person (the data subject). Identifiable is considered a natural person who can be directly or indirectly identified.
We collect personal data through various channels:
2.1. Information that we receive directly from the data subject through contact with EXPOVET via e-mail, telephone, through our website or contact form, through the software, or through registration for our newsletter.
This includes the following information:

2.2. Information we collect through publicly available sources
We may combine the information we find on publicly available sources (such as LinkedIn, the website of the company on whose behalf an application is made, etc.) with the information that the person concerned has submitted to us.
2.3. Information we collect through cookies
When you visit our website, we collect information such as your IP address, the pages you visit on our website, your preferred language, etc.). We collect this information through the use of cookies. 3. What is the data used for?
EXPOVET collects and processes personal data to accomplish the purposes listed below. Your data will not be used for other purposes without informing you in advance and, if necessary, obtaining your consent.
3.1. To provide you with information about the EXPOVET fair and to tailor it -where possible- better to your needs and wishes.
3.2. To enter into a business and/or labor related relationship with you or your company and to properly fulfill the agreement you enter into with us
3.3. To invite you to events and newsletters
3.4. To comply with our legal obligations (including accounting processing, tax obligations and obligations under court orders or other mandatory laws and regulations).
4. On what basis?
EXPOVET relies on several legal grounds for processing your data.
EXPOVET processes your personal data on the basis of your registration for the exhibition, after signing an agreement, for the purpose of your participation in the exhibition.
EXPOVET may also request your explicit consent for processing your data. This is the case, for example, for photographs and visual material. During the event, photos and videos may be taken in which you are recognizable. These images may be used for promotional purposes, such as on our website, social media and other marketing material, subject to your consent. If you object to the use of your image, please make this known to our photographers on site or contact us at expovet@gmail.com.
In addition, EXPOVET may invoke legitimate interest in certain circumstances.
If you do not want your personal data to be processed in this context, it is not possible for us to enter into or carry out the service in full.
5. With whom may we share your data?
EXPOVET may transfer your personal data to third parties only if this is necessary for the realization of the execution of the service.
If EXPOVET transfers your personal data to third parties, a (data processing) agreement will be concluded with these third parties in which, among other things, it is laid down that your personal data will be treated confidentially and processed in a secure manner.
The confidentiality of your data is important to us; we only exchange personal data via highly secure electronic means. Your data will never be traded, sold, rented or passed on to third parties, non-processors if there is no legal obligation to do so.

7. How long do we keep your personal data?
Personal data are kept and processed by EXPOVET for a period necessary in function of the purposes of the processing and in function of the contractual relationship between EXPOVET and the exhibition participant. This takes into account the relevant legal and regulatory requirements on record keeping.
We may also retain them to fulfill our legal obligations, respond to inquiries and resolve any disputes, satisfy our legitimate interests and enforce our rights.
8. Appropriate technical and organizational measures
EXPOVET has taken appropriate technical and organizational measures to avoid, as far as possible, the destruction, loss, falsification, alteration, unauthorized access or inadvertent disclosure to third parties of personal data collected as well as any other unauthorized processing of this data.
Within this framework, EXPOVET pays particular attention to the security of its computer systems which includes the use of strict password management.
We require that all our service providers have taken appropriate measures to maintain the security of your information. Under no circumstances can EXPOVET be held liable for any direct or indirect damage resulting from an erroneous or unlawful use by a third party of your personal data.
Security and management procedures are reviewed on a regular basis in accordance with the latest technological developments. EXPOVET stores your personal data in its database on a secure server. Access to the database is only possible by authorized persons, who are engaged in data processing.
9. Rights of data subjects
You have the right to know about your personal data at any time, free of charge, and to exercise your rights listed below.
9.1 Right of access, correction and restriction.
You are free to communicate or not communicate your personal data to EXPOVET. In addition, you always have the right to request EXPOVET to inspect, correct, supplement or limit your personal data.
9.2. Right of deletion
You have the right to ask us to remove your personal data from our database. However, this right may be limited due to legal obligations. You acknowledge that upon refusal of communication or request for deletion of personal data, certain services may not be available.
9.3. Right of opposition
You have a right to object to the processing of your personal data for serious and legitimate reasons. In addition, you always have the right to oppose the use of personal data for direct marketing purposes.
9.4 Right of free data transfer (data portability)
You have the right to obtain your personal data provided by you to EXPOVET in a structured, common and machine-readable form and/or to have it transferred to other responsible parties.
9.5. Right to withdraw consent.
To the extent that the processing is based on your prior consent, you have the right to withdraw that consent. You have the right to withdraw your consent to the further use of your personal data for a specific study. However, this right may be limited due to legal obligations or the need to keep it in the archives for further scientific research. After validation of your request, your personal data will be deleted from EXPOVET's database.
9.6. Exercise of your rights
You may exercise your rights by contacting Vlaamse Diergeneeskundige Kring V.Z.W. either by e-mail at expovet@gmail.com or by mail to Vlaamse Diergeneeskundige Kring V.Z.W., Salisburylaan 133, 9820 Merelbeke - Melle. With such a request you should always enclose a copy of an identification document.
A request may be refused if it is unreasonably repetitive or systematic.
9.7. Automated decisions and profiling
The processing of your personal data does not involve profiling nor will EXPOVET be subject to automated decisions.
9.8. Right to file a complaint

10. Changes
